The reason someone may not appear in the attendance list, even if they are part of an attendance group, is often related to the date the person was added to the group.
When an individual is added to an attendance group after a session, service, or class has already started tracking attendance, that person will not be counted as present or absent for any dates prior to when they were added.
For example, if a service begins on August 1st, but a person is added to the group on September 1st, that peson will only be included in the attendance list starting from September 1st. They will not be included in the attendance for any services, sessions, or classes in August, as they were not part of the group during that time.
How to Fix:
If you need to retroactively mark this person as present or absent for previous dates (such as services or classes in August), you can update the date they were added to the group. Here’s how to do it:
Navigate to the person’s profile and select the "Groups" section.
Locate the group in question, and select the “Date Added” field.
Change the date to the appropriate date when the individual should have been attending services or classes.
Example:
If a student should have started attending on August 1st, but they were added to the group on September 1st, you can change their “Date Added” to August 1st. This will allow you to mark them present or absent for any services, classes, or sessions that took place in August, and they will also appear on future attendance lists.
Additional Notes:
• Ensure that individuals are added to attendance groups ahead of time whenever possible to avoid missing data.
• Updating the date will not only resolve future attendance issues, but also correct any past absences or attendances for that individual.
