Generating an Attendance Summary Report with Monthly and Yearly Averages

The Attendance Summary Report in SteepleMate provides detailed insights into attendance data, including monthly and yearly averages. This report allows users to filter data by date range, event type, and other options to customize the output. The report includes graphical charts and exportable raw data.



Accessing the Attendance Summary Report

  1. From the left navigation menu, select Reports.
  2. Click on Attendance Summary.

Set the Report Filters:

  1. Choose a Date Range (e.g., a month, a year, or a custom period).
  2. Select Event Types (e.g., Church Service, Funeral, School, etc.).
  3. Adjust Data Options as needed (e.g., include guests, absences, or prayer sign-in data).
  4. Configure Display Options to include charts or raw data grids.

Generate the Report:

  1. Click the Generate 
    button at the bottom of the screen.

Filter Options

Date Range: Select a specific month, year, or custom time period.
  1. Monthly Average Chart: Displays when the date range spans at least 60 days.
  2. Yearly Average Chart: Displays when the date range spans at least 395 days.
Event Types: Choose relevant event categories such as:
  1. Church Service
  2. School
  3. Wedding
  4. Funeral
  5. Other Outings
Data Options:
  1. Include Guests: Adds individuals marked present who were not part of an attendance group.
  2. Include Anonymous Guests: Includes estimates of guests who were not recorded with a contact record.
  3. Include Absences: Displays absence data alongside attendance numbers.
  4. Include Prayer Sign-In Data: Compares prayer sign-in data with attendance averages.
  5. Aggregate Concurrent Events: Merges events within 15 minutes to prevent duplicate counting.
  6. Ignore Abnormal Counts: Excludes events where less than 25% of potential attendance was recorded.
Display Options:
  1. Show Charts: Includes graphical data visualization.
  2. Show Grid with Raw Data: Provides an exportable data grid.

Viewing the Report

Once generated, the report includes:
  1. Charts & Graphs: Visual summaries of attendance trends.
  2. Raw Data Grid: Detailed attendance records, which can be exported to CSV, Excel, PDF, or DOCX.
  3. Print Option: Click the Quick Print button at the top of the page. Adjust scale settings as needed for printing preferences.

Idea

Additional Notes:

  1. Large date ranges including prayer sign-in data may take longer to process.
  2. Ensure selected filters align with the type of services recorded to retrieve relevant data.
  3. If no data appears, verify that the selected date range includes recorded attendance events.
