How to Use and Customize Guest Connection Cards in SteepleMate

SteepleMate provides various ways to collect information from your guests, ensuring a welcoming and seamless experience while also enabling your team to follow up effectively. Here are the different methods available for using the Guest Connection Cards, along with the outcomes of each submission.

Accessing Guest Connection Card Settings

To begin personalizing your Guest Connection Cards:

  1. Go to the Administration Menu

    • From the SteepleMate dashboard, navigate to "Organization Settings".
  2. Open the Guest Connection Cards Section

    • Click on the "Guest Connection Cards" section to begin editing your options.



Ways to Use Guest Connection Cards

Via Text Message
Guests can text one of the following keywords: "WELCOME", "VISIT", "GUEST", or "HELLO" to the Church Alert number. This will trigger an automated welcome text inviting them to follow a link where they can enter their contact information.
Via Embedding on Your Website
You can embed the Guest Connection Card directly onto your church’s website. Simply add an iFrame with the appropriate options to customize the form’s appearance. This is a great option if you want visitors to engage with the card directly from your church’s site.
Via QR Code
Generate and display a QR Code on signs, screens, or print materials in your church's foyer or at welcome stations. Guests can scan the code to access the Guest Connection Card and provide their information.
Via On-Site Kiosk
If your church has on-site kiosks, guests can tap the "I'm Visiting Today" button. The information they enter will be processed in the same way as if they used the text message, website, or QR code options. This option is ideal for a more hands-on, self-service experience.
 


What Happens When a Guest Submits Their Information?

Regardless of the method guests use to submit their information, the following actions take place:

Thank You Message
Guests will receive the Thank You Message that you have customized (see customization section below). This reinforces your gratitude for their visit and encourages them to return.
Follow-Up Notification to Alert Group
Individuals who are part of the designated Alert Group will receive a text notification. They will also be assigned a follow-up task that includes the guest’s contact details.
In-Service Report
If the guest submits their information during a live service, their name will appear in the In-Service Report, allowing your team to acknowledge them personally.
Guest Recognition (Optional)
If you are using an on-site marquee and have enabled the Guest Recognition feature, your guest’s name will be displayed on the marquee to publicly welcome them.
CareTrack for First-Time Guests (Optional)
If you have set up a CareTrack for first-time visitors, the pre-planned series of activities (such as follow-up emails or pastoral visits) will automatically begin after the guest submits their information.
 


Customizing Your Guest Connection Card Experience

Customize the Introductory and Thank You Messages

Personalize the messages that guests see when they interact with your Guest Connection Card.

  • Introductory Message: This message appears when the guest first begins to enter their information.
    Example:
    “We are excited to have you with us. Please provide your contact details so we can stay connected.”

  • Thank You Message: This message is sent once the guest submits their information.
    Example:
    “Thank you for visiting SteepleMate! We hope to see you again soon.”




Setting Up Alerts and Follow-Up Tasks

SteepleMate allows you to assign specific individuals or groups to receive alerts when a guest submits their information. This ensures a quick and personal follow-up.

Alert Group Setup

  • Guest Connection Leaders: This group will be notified by text and receive a follow-up task when a guest fills out the form, whether it’s via text, your website, the kiosk, or QR code.
  • You can designate this group in the Guest Connection Cards section of the Organization Settings.
