How to Access and Manage Tuition Accounts in SteepleMate
In SteepleMate, you can easily view and manage tuition payments made through various platforms, including text-based giving, the mobile app, and the web app. This guide will walk you through how to access, manage, and create tuition accounts, ensuring all tuition payments and balances are efficiently tracked.
Step 1: Accessing Tuition Accounts
Navigate to the left-side School menu and click Tuition Accounts.
In the Tuition Accounts section, you can:
- View Existing Accounts
- Create a New Tuition Account
- Generate Tuition Reports
Step 2: Managing Existing Tuition Accounts
- From the drop-down menu, select the tuition account you want to manage.
- Once selected, you have the following options:
- View: Click this to open and view the details of the selected tuition account.
- Add New: Use this option to create a new tuition account.
- Report: Generate a report to review the details of all tuition accounts.
Step 3: Viewing a Tuition Account
- Click View next to the selected account.
- In this screen, you can:
- Update Alert Options: Customize the alerts for tuition payments and other related activities.
- Alert Recipients: Define which contacts should receive notifications regarding the tuition account.
- Adding an Entry to a Tuition Account:
- To add a new payment or charge, click Add Entry.
- Select the appropriate person linked to the tuition account.
- Fill out the form with details such as payment amount, date, and description.
- You can also input negative values if there are deductions or refunds required.
- Click Save Entry to finalize the changes.
Step 4: Creating a New Tuition Account
- To add a new tuition account, click Add New.
- Complete the form by selecting the Primary Contact and setting the Alert Options for that account.
- Click Save once finished, and the new tuition account will be created.
Step 5: Generating Tuition Reports
- For a quick overview of all tuition accounts, click on Report.
- The report table will display the following details:
- Family: The family associated with the tuition account.
- Students: The students linked to the tuition account.
- Last Payment: The date and details of the most recent payment.
- Amount of Last Transaction: The value of the most recent transaction.
- Current Balance: The outstanding balance on the tuition account.
Additional Notes:
- Payments Displayed: Only payments made through SteepleMate's system are shown. Manual payments or charges entered outside of SteepleMate may not appear.
- Accounts with ‘*’: These accounts have no students listed but maintain a non-zero balance.
- Missing Accounts: If an account is missing, check that at least one family member is part of a school group for accurate tracking.
