How to Connect Your QuickBooks Account to SteepleMate

SteepleMate is the only cloud-based church management system certified by Intuit, offering a direct integration with QuickBooks Online. This integration allows you to post journal entries for online giving and in-person offerings directly to QuickBooks. 

With robust cash management tools, including deposit batches and detailed deposit slips, SteepleMate provides an all-in-one solution for tracking and managing church income. Donors can also retrieve their own contribution statements at any time.

If your church doesn’t have QuickBooks yet, consider getting QuickBooks Online Plus for just $80/year for up to 5 users via TechSoup.org.

Step 1: Set Up Your QuickBooks Online Account

If your church does not already have a QuickBooks Online account, you must create one before integrating with SteepleMate.

Step 2: Connecting QuickBooks to SteepleMate

Once your QuickBooks account is set up, follow these steps to connect it to SteepleMate:
  1. Log in to your SteepleMate account.
  2. From the Left Navigation Menu, go to Finance > QuickBooks.
  3. On the QuickBooks Integration page, select Login to QuickBooks.
  4. A secure QuickBooks login pop-up will appear. Enter your QuickBooks Online username and password.
  5. Click Continue to begin configuring your QuickBooks settings.

Step 3: Configuring QuickBooks Settings in SteepleMate

After connecting your QuickBooks account, you will need to configure various settings to ensure seamless integration.

Bank Accounts

  1. You will see a grid displaying your QuickBooks Online bank accounts alongside the bank accounts registered in SteepleMate.
  2. Match your SteepleMate accounts to their corresponding QuickBooks accounts.
  3. Important Notes:
  4. If you have not yet created your bank accounts in QuickBooks, do so before continuing.
  5. Inactive or frozen accounts will not appear in the list.
  6. At least one bank account must be associated for QuickBooks posting to work.

Once you’ve matched your accounts, click Continue.


Options & Preferences

Review and enable the following options for an optimized integration:


Automatically Post OfferingMate Deposits to QuickBooks

Enabling this option allows SteepleMate to automatically post online giving deposits as journal entries in QuickBooks.

If left unchecked, deposits must be manually posted via Finance > Manage Deposits.


Automatically Create Income Accounts in QuickBooks

If enabled, SteepleMate will create Income Accounts in QuickBooks automatically for any new contribution categories.

If disabled, SteepleMate will not post deposits that contain contributions without an assigned QuickBooks account.

Click Continue after selecting your preferences.


Income Account, Class & Project Synchronization

This screen maps your SteepleMate Payment Categories to QuickBooks Income Accounts, Classes, and Projects.

  1. If an income account is missing in QuickBooks, SteepleMate will:
  2. Find an existing account with the same name and link it.
  3. Create a new account if auto-creation is enabled.
  4. Prevent posting if auto-creation is disabled.


Step 4: Finalizing QuickBooks Integration

🎉 Congratulations! Your QuickBooks Online account is now connected to SteepleMate.

  1. You can return to Finance > QuickBooks anytime to update your payment category mappings, income accounts, or other settings.
  2. Your Deposits feature is now eligible to post transactions directly to QuickBooks.


Posting Deposits to QuickBooks

1. Go to Finance > Manage Deposits.

2. Select Offering Batches to include in your deposit.

3. Once the deposit status is set to Processed (typically after the funds are deposited at the bank), click Post to QuickBooks.

IdeaTip: You can update bank account links at any time by going to Finance > Banking Accounts.
