How to Plan Services in SteepleMate
Service planning in SteepleMate helps you organize and prepare worship services, schedule team members, and manage service details seamlessly. Whether you're using a pre-built template or starting from scratch, this guide will walk you through the process of creating and managing service plans.
Step 1: Access Church Services in SteepleMate
Sign into Your SteepleMate Account
- Go to SteepleMate.com and log in.
- Click on Manage from the main menu.
Navigate to Church Services
- Click Church Services in the menu.
- Click Include Future Services to view upcoming services.
- Use the calendar icon to select the date range for which you’d like to view and plan services.
- Choose the service from the dropdown menu. Future services will have an asterisk next to the date. Click View to begin planning the selected service.
Step 2: Add Service Details
Enter Basic Service Information
- Add details such as the minister's name, service title, and any relevant notes. These can be edited later if needed.
- Click Schedule to move on to the next step.
Choose a Service Template or Plan from Scratch
- Select a pre-built Service Template or choose Create Plan from Scratch. Then, click Create to begin.
Step 3: Assign Service Roles
Select Service Roles
- Click on the Service Roles section to assign team members to specific elements of the service (e.g., worship leader, speaker, ushers, tech team).
Add or Modify Roles
- If using a Service Template, roles may already be defined. If not, or if you need to modify the template, click New to add a role.
- Enter details such as the role name and the number of people needed for each role.
Invite Team Members
- Click the > icon to view more details for each role.
- Start typing the names of individuals you want to invite to serve in each role. Once selected, click Add to save them to the role.
- Repeat this process for all roles that need to be filled.
Save Your Service Plan
- You can save your Service Plan at any time and return to it later. To add more people to a role, simply click the number field to edit.
Step 4: Manage Invitations
Send Invitations to Team Members
- To invite people to serve, click Manage Invitations.
- Review the list of team members and choose the method by which to send invitations:
- Intra-Office Message
- Email Message
- SMS Message
- Click Send [#] Invitation(s) to send out the invitations.
Track Invitation Responses
- As team members accept or decline invitations, you’ll see updates in the Service Roles table:
- A green row indicates all needed roles have been filled.
- A white row shows all invitations for that role have been declined.
- A yellow row means invitations are still pending.
Step 5: Adjust the Service Flow
Customize the Service Flow
- Click on Service Flow to manage the detailed structure of your service. You can:
- Add elements such as welcome, worship, prayer, sermon, and announcements.
- Specify details for each element (e.g., worship song titles, sermon topics, scripture references).
- Adjust the timing of each element to ensure the service fits within your desired time frame.
Save Changes
- Once all details are added, click Save Changes. You can come back and edit the plan at any time to accommodate changes.
Additional Tips:
- Schedule Rehearsals: Use the Calendar feature to schedule rehearsals for the worship team or other groups needing preparation.
- Organize Songs and Sermon Notes: Use the Media Library to upload music sheets, song titles, sermon notes, and more. This keeps everything organized and accessible for your team.
