How to Track External Communications

SteepleMate makes it easy to log and manage external communications such as phone calls, emails, or in-person meetings with group members, volunteers, and staff. Keeping a detailed record of these interactions helps you stay organized and ensures seamless communication.

Step 1: Access the People Management Screen

  1. From the left navigation menu, click on Manage, and then select People.
  2. Enter the name of the person you want to track communications for, then click Search to find their profile.

Step 2: Open the Communications Section

  1. Once the person’s profile appears, scroll down slightly to locate the Communications section.
  2. Click on the Communications header to expand this section and view any existing communication records.

Step 3: Logging a New Communication

  1. To log a new communication, click on New within the Communications section.
  2. A form will appear where you can enter the details of the communication:
    • Type of Communication: Specify whether it was a phone call, email, in-person meeting, or other contact.
    • Date: Record the date the communication occurred.
    • Notes: Add any relevant details about the communication, such as key discussion points or follow-up actions.
  3. Once the details are complete, click Update to save the communication record.

Step 4: Viewing and Managing Communications

  1. After saving, the communication will be added to the list under the Communications section of the person’s profile.
  2. You can view, edit, or delete communication logs as needed by clicking on the respective entries.

Additional Tips:

  • Use the Notes section to capture important details that may require follow-up, like agreed-upon tasks or next steps.
  • Regularly tracking communications with key members, volunteers, and staff can help maintain clear and organized records for future reference.
