Information Entry and Group Access Settings in SteepleMate

SteepleMate's Information Entry and Visibility Defaults section gives you complete control over who can view and manage your church's directory, set default information, and customize group leader access. You can also adjust the look and feel of the platform by customizing the grid themes.


Step 1: Accessing Information Entry and Group Access Settings

  1. Go to the Administration Menu
    From the SteepleMate dashboard, navigate to "Organization Settings".

  2. Open the Information Entry and Visibility Defaults Section
    Click on the "Information Entry And Visibility Defaults" section to adjust access and visibility settings.


Step 2: Updating Default Information

Within this section, you can update the default information for key organizational elements:

  • Minister Information: Set or update the default minister assigned for different events and services.
  • Location Information: Provide default location details for your church, making it easy to apply this information across the system.
  • Time-Zone Information: Ensure that your default time zone is accurate for scheduling and communications.

Step 3: Showing Group Selector for New Person Entries

To simplify managing groups, you can enable the Group Selector option for new person entries. This setting allows you to assign individuals to attendance groups right when they are added to your church's database.

  • How to Enable: Check the box labeled "Show Group Selector For New Person Entries" to display group options during the entry process.

Step 4: Church Directory Visibility

Control who can access the church directory and the type of information available to them, such as:

  • Photos
  • Birthdays
  • Anniversaries
  • Contact Information

To set access levels:

  1. Choose which user groups or access levels will have permission to "Show Church Directory To".
  2. This ensures that only the appropriate individuals can view sensitive member details.

Step 5: Group Member Notifications

You can customize how often group members receive notifications regarding updates or changes within their group. Options include:

  • Immediately: Notifications sent as soon as changes occur.
  • Daily: Receive a summary of updates at the end of each day.
  • Weekly: Group updates are sent out once a week.
  • Monthly: Notifications are consolidated and sent out monthly.
  • Do Not Send: Disable notifications entirely for certain groups.

Select the notification frequency that best suits your group’s needs.


Step 6: Customizing the Look and Feel

SteepleMate allows you to personalize the visual theme of your grids and components to suit your aesthetic preferences. Available grid styles include:

  • Apple iOS
  • Aqua
  • Black Glass
  • Cabernet
  • Default
  • Glass
  • Google Android

To apply a theme, simply select your preferred style from the list provided.


Step 7: Managing Group Leader Access

As an administrator, you can define what your group leaders are allowed to do in terms of managing their group members. Here’s a breakdown of the permissions available for group leaders:

  • View and Edit Member Information:
    This option allows group leaders to view and modify member details (with certain restrictions).

  • View and Edit Member Communications:
    This setting gives leaders the ability to access and manage communications for their group members.

  • View and Send Messages to Group Members:
    With this enabled, group leaders can send messages via:

    • Intra-Office messaging
    • Email
    • SMS
    • Mobile App Chat

By customizing these permissions, you can ensure that group leaders have the right level of access to efficiently manage their groups without compromising privacy or security.


Step 8: Save Your Changes

After making adjustments to your Information Entry, Visibility Settings, and Group Access Permissions, remember to:

  • Click "Save" to apply your changes.
By fine-tuning these settings, you can control the visibility of your church’s information, streamline group management, and ensure a visually consistent platform that aligns with your church's needs.
