Guest Attendance Tracking Tips

SteepleMate provides several ways to add and track guests and will often attempt to mark them present automatically based on timing.

Ways Guests Can Be Added

Guests can be entered into SteepleMate:

  1. From an on-site kiosk
  2. From the Attendance Tracking form
  3. From the Service Detail page
  4. From your customizable website using the Plan My Visit feature
  5. By the guest texting “Welcome” to your SteepleMate SMS number
  6. From a virtual guest card filled out by the guest
  7. From the Person Manager (entered manually by church staff)

With the exception of guests entered directly in the Person Manager, SteepleMate uses the entry time to try to mark the guest present for any service that:

  1. is currently in progress, or
  2. was in progress at the time the entry was made.

Important Considerations

  1. Guests entered by church staff in the Person Manager

    • These guests are not automatically added as present to a service.

    • They must be added manually to the appropriate service.

  2. Guests using the virtual guest card outside their first visit

    • If a guest submits a virtual guest card at a time that is not their original visit, SteepleMate will attempt to mark them present for whichever service is currently in progress (from 60 minutes before start time to 2 hours after start time).

    • This automatic assignment does not happen if the virtual guest card was opened using the link from the Attendance Tracking feature or the Service Detail page.

    • If the guest should not be marked present for that service, you must:

      • Remove them from the service using the Service Detail page, and

      • Manually add them to the correct service using the Service Detail page.

  3. How guests appear on reports

    • An individual appears as a guest on reports when they are present for a service but are not part of any Attendance Groups used for that service.

    • Example:

      • Bob Smith attends a service on June 5 but is not in any of the Attendance Groups associated with that service. He will appear as a guest for June 5.

      • If Bob is later added to one of those Attendance Groups and his join date for the group is set to a date before the June 5 service, he will no longer be listed as a guest for that service. Instead, he will appear as a regular attendee.
