Attendance Detail Report: Track Attendance Trends with the Attendance Detail Report in SteepleMate

This article walks through how to pull and use the Attendance Detail report in SteepleMate. This report is generated from the criteria you select and shows attendance records for individuals in the groups you choose. If the group you select has child groups or subgroups, those are included as well.

The Attendance Detail report is especially helpful when you want to:

  • Review who was present or absent for specific services

  • Correct any attendance entries after a service

  • Identify people with patterns of absence or consistent attendance


Opening the Attendance Detail Report

  1. In the left navigation menu, select Reports.

  2. Click Attendance Detail.

This opens the filter options for the report.


Step 1: Choose Date Range and Events

  1. Select a Date Range

    • Choose the start and end dates you want to search for events.

  2. Select Events

    • From the list of events found in that date range, select the events you want included in the report.


Step 2: Set Report Options

You can refine your report using the options provided:

  • Sort by Group

    • Organize results by group.

  • Include in Communications

    • Include people who are part of your communications lists (if applicable to your workflow).

  • Perfect Attendance Only

    • Show only people who have perfect attendance for the selected events.


Quick Selectors

Use the quick selector options to focus on certain attendance patterns:

  • Absent for All

    • Show people who were absent for all locations or all selected services.

  • Present for at Least One Service

    • Show people who were present at least once in the selected date range.

  • Show People with at Least X Absences

    • Display individuals with at least a certain number of absences (for example, 7 absences).

    • You can adjust the number to fit your needs.

  • Show Ratios (e.g., 5 out of 10 Services)

    • Show people who have missed or attended X out of the last Y services.

    • For example:

      • Missed 5 out of the last 10 services

      • Present for 5 out of the last 10 services

When you’ve set your options, click the green Continue button.


Step 3: Include Guests and Select Groups

On the next screen you can refine who appears in the report:

  • Include Non-Church Family (Guests)

    • Check this box to include people who were present even if they are not in any group.

    • This is useful when you want attendance details for guests and non-members.

  • Choose a Group or Category

    • Select a specific group you want to see attendance for, or

    • Choose Church Attendees to include all groups within your attendance structure, including subgroups and sub-subgroups under your main attendance group.

Click Continue (if prompted) to generate the report.


Step 4: Working with the Attendance Detail Report

When the report loads, you’ll see a list of individuals that match your selected groups and filters, along with their attendance for the selected events. You’ll also see a count of how many people are in the list.

From this screen you can:

Adjust Attendance

  • A red X indicates absent.

    • Click the red X to mark the person present.

  • A green check mark indicates present.

    • Click the green check mark to mark the person absent.

This allows you to quickly correct any attendance errors—helpful, for example, on Monday morning after a Sunday service.


View and Update Person Details

  • Click on a person’s name to open their profile.

    • From there, you can view or edit details about that person.


Log Communication or Contact the Person

  • Click the phone icon in the Communications column to:

    • Log a communication with that person, or

    • Quickly send a text or chat (depending on your setup).


Assign Follow-Up Tasks

  • Click the dark blue calendar icon to assign a follow-up task:

    • To yourself, or

    • To another team member.


Step 5: Printing and Exporting

At the top of the report, you can:

  • Print the report

    • With or without communications details.

  • Export the report

    • To Excel or CSV for further analysis or record-keeping.


When to Use the Attendance Detail Report

The Attendance Detail report is especially useful when you want to:

  • Review attendance after a specific service or set of services

  • Confirm whether anyone was missed or incorrectly marked

  • Track patterns like “missed 5 out of the last 10 services”

  • Identify individuals who may need follow-up or care based on their attendance trends
